TNS Host Responsibilities

An ENORMOUS thank you for your offer to host Thursday Night Supper. As a volunteer run club, we appreciate your willingness to help.

 

Shift Times*

Set Up: 5:00-7:00 P.M.

Clean Up: 7:00-9:00 P.M.

     

*If everything is done earlier than 9:00pm, you may lock up and leave earlier.

 

Access

The Club Manager, Kate Clark, will be at the club when you arrive to give you access to the clubhouse. She will be available to help host couples to ensure that TNS runs smoothly.

 

RESPONSIBILITIES – BEFORE TNS

  • Grills
    1. Ensure that the grills are lit
    2. Three charcoal grills should be lit at 5:00pm. We do not use the gas grill for TNS.
    3. Place grilling utensils near the grills.  Be sure they are clean
  • Picnic Tables
    1. Make sure tables are organized nicely on the grass
    2. If tables have been moved around by the landscaper, please have the Club Manager assist you in moving them to where they should be for TNS
  • Buffet Tables (for catered food or assigned potluck dishes)
    1. The buffet tables are located inside the Clubhouse.
    2. Ensure they are properly laid out (one kids table against west windows or outside (pending weather), two adult tables set out in middle of clubhouse)
  • Picnic Tables
    1. Place table cloths on all picnic tables
    2. Tablecloths are located in the Clubhouse pantry
    3. This year we are using disposable table coverings
  • Tablecloths – Buffet Tables
    1. Place cloth tablecloths on buffet tables in Clubhouse
  • Clubhouse Bathrooms (NOT pool house)
    1. Make sure the Clubhouse bathrooms are unlocked, tidy and stocked with TP
    2. Alert Club Manager to any issues involving the bathrooms
  • Prepare buffet tables
    1. Set out plates, napkins, plastic cutlery (all in pantry)
  • Water & Lemonade Coolers
    1. Make lemonade and place on a table outside of Clubhouse
    2. Fill water cooler and place with lemonade
    3. Place small disposable cups (4-8oz) next to lemonade/water coolers (located in Clubhouse pantry)
  • Condiments
    1. Set out condiments on the island in the clubhouse or on the table next to the grills.
    2. Condiments include: Ketchup, Mustard, Relish (see fridge in pantry)
  • Chips
    1. Set out the chips in a serving basket (located in pantry) and place on the outside tables

**Chips & lemonade can be put out at 5:30 or 5:45. Catered sides from Michael’s are not served until 6pm.

 

RESPONSIBILITIES – DURING TNS

  • Trash
    1. Keep an eye on the trash both inside and outside the Clubhouse.
    2. If you see trash on the ground, please pick it up
    3. Empty garbage cans into the dumpster and replace them with new trash bags.
  • Buffet Tables and Food
    1. For potluck, ensure buffets are organized and tidy
    2. For catered dinners, alert Caterer of any food issues or need for the buffet tables to be tidier

RESPONSIBILITIES – POST TNS

  • Trash
    1. If you see trash on the ground, please pick it up
    2. Empty garbage cans into the dumpster and replace with new trash bags
  • Tablecloths
    1. We are using disposable tablecloths this year for tables in the picnic grove.
    2. If cloth tablecloths are used for either the Buffet Tables or Porch Tables and are dirty/need to be washed, leave them in garbage bag in the back room.
  • Bathrooms
    1. Ensure bathrooms are tidy and lock the Clubhouse bathrooms at the end of the night (you can get the key from the Club Manager)
  • Music
    1. Make sure music is turned off at the end of TNS
  • Clubhouse
    1. Ensure Clubhouse is tidy
    2. Lock Club House upon departure (or arrange with Club Manager to lock Clubhouse)
  • Grills

1. Tidy up grill area and put tops back on grills

2. Clean grilling utensils

 

Junior Hosts

  • Hang out at the ice cream freezer from 6:30-7:30 to help our smallest ‘Forkers with portion control
  • Each child should have 1 ice cream bar
  • We will have a hand stamp available to help keep track of who has received an icy treat

 

Kids Games Hosts

  • Help out on the tennis courts with running kids games and activities
  • Materials will be provided by the board, but if you can add to the fun with your own materials, that is appreciated

 

  • Note: if it is getting close to TNS closing time and members are still enjoying their time, please do the following:
    1. Ask to clean and put away their table cloth or let them know that they will be responsible for it.
    2. Let them know that you will be cleaning up and locking the Clubhouse shortly and ask them if they need anything prior to doing so.

 

RAIN

  • IN CASE OF RAIN, THE SET UP COUPLES STILL NEED TO COME TO THE CLUB AT THE DESIGNATED TIME.
  • Assisting couples should contact Gretchen Swank that evening to see if they are needed.
